Job Description:
Highly organized and proactive Administrative Specialist to support administrative and facility management tasks. The ideal candidate will ensure smooth daily operations by coordinating team activities, office logistics, collecting data and documentation as needed.
Responsibilities:
- Administrative Support & Documentation:
- Contact person for any vendor interaction
- Control all administractive part of office ongoing buisness continuety ,including : cars, taxi’ fuel cards, meal cards, phones etc.
- Assist with special projects and events (etc. accommodation and events)
- Shipment topics (etc. prepare customs clearance documents)
- Support company Director with administration tasks, presentation etc.
- Team & Office Coordination:
- Oversee workplace facilities and office supplies.
- Coordinate maintenance activities (AC, security, electricity, pest control).
- Support Travel as needed (etc. Site rep for NAVAN travel & expense system)
- Supprt purchasing activities (Issue purchase orders, recieve quotes from vendors)
- HR Support :
- Attandance records, sick leave certificates and reimbursements
- Organize local recreation activities and teambuilding events.
- Coordinate holiday gifts, including orders and payments.
- Global Mobility topics (etc. work with law firms for immigration matters
- Coordinate Health check, safety training
Requirements:
- 3+ years of Proven experience in administrative roles
- Proficiency in Italian and English is required.
- Experiance working in a global company – advantage
- Strong organizational and multitasking abilities.
- Proficiency in office management software (NAVAN, Badgebox).
- Excellent communication and interpersonal skills.
- Ability to work independently and manage multiple priorities.
